General information:
- Security - Overnight security from Thursday evening to Saturday evening
- Services - There is no water or free mains electricity supply in the tents.
- Entry from 7.00am on the morning of the Show
- Vehicles can be driven to the tents for unloading only and must then move directly to the free car parks adjacent to the tents
- Vehicles must not be finally parked within 8ft of any tents provided by the Association in order to maintain an adequate fire break between vehicles and tents as required for fire safety.
- All vehicles must be removed from the front of the tents by 10.00 a.m
- Electricity – Exhibitors are not permitted to bring and use their own generators, as a 240Volt supply is available. Your total WATTAGE REQUIRED MUST BE NOTED ON THE APPLICATION FORM. Exhibitors using the electric supply are required to bring an extension lead of sufficient length. All such leads and any portable electrical equipment must be PAT tested and labelled with test date and signature of tester.
- Insurance – Exhibitors are required to ensure that they have the necessary public liability and employee liability insurance in order to exhibit and sell their products. Additionally H & DAA requires that exhibitors arrange their own insurance cover in respect of personnel, marquees, tents, equipment and stock they have on their stand
- Health and safety – All exhibitors are required to read this Association's Health and Safety document and to comply with the safety requirements set out in the document.
- Spaces – are allocated on a ‘first come’ basis, early booking is therefore recommended
- Entry passes – are posted out approximately one month prior to the Show and vehicle passes must be displayed prominently when entering the show ground.
- Receipts – please include a stamped s.a.e. with your application if you require a receipt

Trade Stands
General information:
- RATES: £7.00 per foot. Registered Charities £3.50 per foot
Minimum stand size is 15 feet frontage = £105.00 (All trade stand plots are 30 feet deep).
Fees are payable at the time of booking and are non-refundable
Post-dated cheques are not accepted

- SITES: Minimum frontage - 15 feet. Please ensure that you reserve sufficient space to allow for guy ropes and access for your vehicle behind the stand. The Trade Stand Organiser will allocate sites at her discretion, but will try to meet requests for specific locations on a first come, first served basis
- PARKING: There is a free car park adjacent to the Showground
- SERVICES: Limited water supply available - please state if required. Exhibitors should make their own arrangements for electric power; however all generators and electrical equipment will be subject to inspection. Generators must be adequately silenced. The organisers reserve the right to refuse to allow the use of any equipment that is deemed to be untested, unsafe or too noisy. Please answer the questions regarding equipment and stand details on the application form. Note:- All portable electrical equipment must be PAT tested and fully compliant.
- PASSES: Each Exhibitor will receive 2 Showground passes and 1 Vehicle pass which will be posted prior to the Show. Additional showground passes can be purchased, cost - £9.50 each
- Vehicles not displaying a vehicle entry pass will NOT be allowed on the Showground.
- MACHINERY AND MOTOR DEALERS whose vehicles constitute a part of their exhibit should indicate how many passes are required on the application form
- SHOWGROUND ENTRY: The Showground will be open from Tuesday 7th September to allow exhibitors to set up their stands. No entry to the Showground after 7.00pm
- The Show starts at 8.30 a.m. and ends at 6.00 p.m. Exhibitors must be ready by 9.30 a.m.
- SOUVENIR PROGRAMME: The Henley Show Souvenir Programme lists all Exhibitors and includes a map of the Showground as well as informative editorial about the Show. You will enjoy greater prominence if you take an advertisement – contact us for more information
- SPONSORSHIP: Would you like to sponsor an event or class at the Show? This is a valuable and rewarding way of demonstrating your support of the Show with the added benefit of having your company name listed in the Show programme as a sponsor. For further information please tick the box on the application form
- HEALTH AND SAFETY: All exhibitors are required to read this Association's Health and Safety document and to comply with the safety requirements set out in the document. Please provide own fire extinguishers if flammable material is present on stand.
- BEST TRADE STAND CUP: A Trophy will be awarded to the Exhibitor who has a sound knowledge of their product or service combined with an eye-catching and well designed stand
PRIZE STALLS SUCH AS TOYS FOR TICKETS ARE NOT PERMITTED ON THE SHOWGROUND
H & DAA requires that exhibitors arrange their own insurance cover in respect of 3rd party liability, personnel, marquees/tents and equipment they have on their stands
